Freelancer & small business office move: low-cost guide
Freelancers and micro-businesses (1–5 workstations) are rarely the target market for large removal companies, which tend to focus on medium and large offices. Yet they have very specific needs: relocating a professional premises, moving a home office, leaving a coworking space, and more. This guide explains how to organise a small office or professional workspace move on a tight budget with minimal downtime.
Typical relocation scenarios for freelancers and micro-businesses
- Freelancer moving from coworking to their own office (or vice versa)
- Law firm, consultancy, or advisory office moving to larger premises
- Healthcare professional (physiotherapist, psychologist, podiatrist) changing clinic
- E-commerce business with stock moving to a new warehouse
- 2–5 person company changing floor or building
- Professional setting up a home office (post-pandemic)
The 4 key differences from a large office move
1. Tighter budget
A 50-workstation move can afford a budget of 10,000+ €. A freelancer needs to manage it for 500–2,000 € at most. Optimising every step is essential.
2. Operations that cannot stop
A large client can afford to “close” on Friday and reopen on Monday. The freelancer or consultant keeps billing: the move has to fit around their client schedule, not the other way round.
3. Limited but specific equipment
Smaller volume but greater sensitivity: laptop + monitor + printer + ergonomic chair + filing cabinets = 80% of the office. Almost no “domestic” furniture to speak of.
4. Critical data with no corporate backup
The freelancer is usually their own IT department. A move is a critical moment to properly handle backups, transfer confidential documents, and reconnect quickly at the new location.
Preparation 2 weeks before the move
Inventory and decluttering
Use the move as an opportunity to reduce accumulated clutter:
- Physical documents: digitise everything you can (Adobe Scan, CamScanner), recycle paper copies
- Obsolete equipment: VGA monitors, old printers → recycling centre or donation to NGOs
- Dead stock (if you run an e-commerce or sell physical products): sell off at a discount before moving
- Furniture that won't fit the new space: sell on Wallapop, donate
TRIPLE backups
Before disconnecting anything:
- External hard drive with a full backup (PC + client data)
- Cloud (Google Drive, Dropbox, OneDrive) with synchronisation verified
- Professional backup service if you handle sensitive data (Backblaze, Veeam)
If your laptop gets lost in transit (rare, but it happens), your business does NOT depend on it.
Client communication
At least 1 week in advance:
- Email to regular clients with the new address + start date
- Announcement on social media and Google My Business
- Update your email signature with the new address
- If you have in-person appointments: cancel those scheduled on moving day and reschedule
Tailored solutions by office type
Solo freelancer (1 workstation)
Everything probably fits in a medium-sized van in a single trip. Options:
- Hire a van yourself: 50–80 € + fuel, but it takes all day and you have to do the loading
- Book a small move with a removal company: 250–450 €, 2 operatives, 3–4 hours. Faster and no backache
- “Uber for vans” service such as TaskRabbit: 150–300 €, depending on availability
Office of 2–3 workstations
Volume of 8–15 m³. Recommended approach:
- Small removal company: 450–800 €
- 2–3 operatives + van or small lorry
- Service completed in 1 full day (weekend or afternoon)
Company of 4–5 workstations
Volume of 15–25 m³. This begins to enter the territory of a classic professional move:
- Standard removal company: 800–1,500 €
- 3–4 operatives + large lorry
- Service completed in 1 day with prior planning
IT equipment: special protocol
Labelling by workstation
Every PC, monitor, keyboard, mouse, and printer is labelled with an alphanumeric code (P1-M1-K1-Mo1 = workstation 1 monitor 1 keyboard 1 mouse 1). At the destination, the equipment for workstation 1 goes to the new desk for workstation 1 — no confusion.
Photos of the back of each unit
Before disconnecting anything, take a photo of the back of each PC with all cables attached. At the destination, you follow the photo and reconnect in 5 minutes what would otherwise take 30 without it.
Specific packing
- Individual boxes per unit (do not stack)
- Bubble wrap around each CPU
- Monitors in their original boxes if you kept them, or in reinforced boxes with bubble wrap
- Cables coiled and labelled individually (not thrown into one large shared bag)
- Servers and NAS units (if you have them): box with protective foam, direct transport with no stops
Physical documents and sensitive data
If you handle personal client data (GDPR)
As a freelancer or small business handling personal data (clients, patients, students), you are responsible under GDPR:
- Paper documents: sealed boxes labelled “CONFIDENTIAL”
- Accompanied AT ALL TIMES by you or a trusted person during transport
- Old hard drives you are discarding: secure erasure (not a simple format, but DBAN or equivalent)
- Documents you no longer need: certified destruction (not the standard recycling bin)
Moving day: keeping it organised
Weekends are better
Even if slightly more expensive (10–20% surcharge), moving on a Saturday lets you work through Friday and start in the new office on Monday. If your schedule allows and the move is small, a Friday afternoon move works too — use the weekend to organise.
Who should be present
- You: to coordinate, give specific instructions, and safeguard sensitive documents
- If you have employees: ideally NOT on loading day (their productivity will be minimal). Have them come back on Monday to find everything set up
- Removal team: 2–4 professional operatives depending on size
Tax treatment: 100% deductible
The move of your professional workspace is 100% deductible as a business expense under IRPF (economic activities) or under Corporation Tax if your business is an S.L. Keep:
- Invoice from the removal company in the company name
- Invoices for any additional packing materials
- Fuel receipts (if you hired a van)
- Invoice for the new lease/purchase of the premises
Always ask us for an invoice with your correct tax details. Further information: relocation for work: deductible expenses.
Frequently asked questions about relocation for freelancers and micro-businesses
Can I deduct the cost of moving my office to my home?
Yes, if you work as a freelancer or self-employed professional, the relocation of your professional equipment to a new workspace (including a home office, provided it is used for your business activity) is a deductible expense. Keep the invoice in the name of your business CIF/NIF.
How long does a 2–3 workstation office move take?
Typically 1 day (6–9 hours): morning for packing + loading, afternoon for transport + unloading. If the IT equipment has already been packed by you the night before, the professional team can finish in 4–5 hours.
What about coworking spaces? How do I manage the move?
If you are leaving a coworking space, your volume is usually very low (1 ergonomic chair, an extra monitor, a filing cabinet, plants). The most cost-effective option is: hire a van + help from friends (50–80 €), or a mini-move service with a company (200–350 €). Do NOT hire a large removal for this.
Do you handle small freelancer moves?
Yes. We offer a specialist service for small offices with quotes from 350 €, particularly well suited to Tenerife and Las Palmas. Request a quote specifying “freelancer office move” and we will respond with an optimised proposal.
Professional removal vs. doing it myself — which makes sense?
For very small volumes (1 van load), doing it yourself could save 100–200 €. For more than 1 trip or delicate equipment (IT, sensitive furniture), the real cost (hire + fuel + food + time + possible damage without insurance) tends to match or exceed a professional service. More at: can I transport furniture in a van?.
Is there a discount for booking multiple moves (freelancers from the same coworking moving together)?
Yes. If several freelancers from the same coworking space are moving to the same destination building, we can arrange a shared move with a reduced rate (−15–25% on individual prices). Coordinate with your colleagues before requesting separate quotes.
